General Description

Senior GA & Facility Management Specialist is responsible for enhancing the efficiency, automation, and service quality of General Affairs operations. This position focuses on improving GA work processes through digitalization, data utilization, and cross-functional collaboration to ensure operational excellence and a seamless employee experience.

Key responsibilities include developing and maintaining GA dashboards (e.g., business trip, facility tracking), driving process automation initiatives in coordination with relevant stakeholders, and conducting regular monitoring of company facilities to ensure functionality, safety, and comfort for employees and visitors.

The role also supports the coordination receptionists, cleaning services, and drivers ensuring service standards are consistently met. This position requires strong initiative, analytical capability, and the ability to translate operational needs into efficient, data-driven solutions that contribute to a well-maintained and employee-friendly work environment.

Key Responsibilities

  • Identify improvement opportunities and implement automation or digital tools to streamline GA workflows (business trip, vendor management, facility maintenance, etc.).
  • Collaborate with relevant stakeholders to develop integrated dashboards and digital solutions (e.g., travel dashboards, asset tracking, inventory systems).
  • Monitor and report on automation project milestones and ensure measurable impact.
  • Conduct periodic audits of all office facilities to ensure readiness, safety, and comfort for employees and guests.
  • Ensure timely maintenance and issue resolution through coordination with building management or vendors.
  • Monitor and evaluate vendor service levels (cleaning, building maintenance, vehicle management, etc.).
  • Oversee operational schedules and performance of outsourced GA support (cleaning service and driver).
  • Maintain accurate business trip data, track expenses, and ensure proper approval workflows.
  • Develop reporting dashboards to visualize GA performance metrics (e.g., cost efficiency, response time, vendor SLAs).
  • Ensure GA operations comply with internal policies, audit requirements, and safety standards.
  • Maintain updated documentation (SOPs, vendor records, contracts, and inventory lists).
  • Gather feedback from internal users to refine GA services and propose improvement initiatives.
  • Conduct facility utilization and vendor performance analysis to evaluate cost efficiency, service quality, and contract compliance; provide data-driven recommendations to improve operational effectiveness and reduce overhead expenses.

Required Qualifications

  • Bachelor’s Degree in Business Administration, Management, or related field.
  • 5+ years of experience in General Affairs, Facility Management, or Office Operations.
  • Proven experience leading process improvement or automation initiatives in office administration.
  • Strong data and analytical skills (Excel/Spreadsheet, other data management tools).
  • Familiarity with vendor management, budgeting, and facility maintenance systems.
  • Excellent coordination, communication, and stakeholder management skills.
  • Proactive, structured, and highly organized in managing multiple priorities.
