General Affair Specialist
The General Affairs Specialist is responsible for managing and optimizing various administrative and operational functions within the company. This role involves analyzing work processes, identifying and solving problems, managing company assets, and overseeing business trip arrangements. The specialist is expected to be proficient in computer applications, capable of handling fieldwork, and experienced in preparing procurement justifications that align with business needs. Additionally, this position requires strong analytical skills to ensure efficiency, compliance, and continuous improvement in general affairs operations.
Key Responsibilities
- Analyze and optimize general affairs operations to improve efficiency and problem solving across various administrative and facility management tasks.
- Manage and maintain company assets, including inventory tracking, allocation, and lifecycle monitoring to ensure optimal utilization.
- Oversee business trip management, including travel arrangements, accommodation bookings, and expense reporting to support company operations.
- Prepare and justify procurement requests, ensuring cost-effectiveness and alignment with business needs.
- Conduct field inspections and site visits to monitor facilities, ensure compliance with company policies, and address operational issues.
- Develop and implement policies for office and facility maintenance, security, and workplace safety.
- Coordinate with vendors and service providers for office supplies, maintenance services, and operational needs while ensuring contract compliance.
- Handle problem-solving and root cause analysis for operational issues, providing actionable solutions to minimize disruptions.
- Maintain accurate records and documentation related to general affairs activities, including budget tracking and expenditure reports.
- Assist in reporting and analysis
- Collaborate with internal stakeholders, such as HR, Finance, and Operations, to support business functions and ensure a well-managed work environment.
- Ensure compliance with company policies and relevant regulations related to general affairs and facility management.
Required Qualifications

- Bachelor’s degree in Industrial Engineering, Business Administration, Management, or a related field.
- Minimum of 3-5 years of experience in General Affairs, Facility Management, or a related administrative role.
- Strong analytical and problem-solving skills to assess work processes and operational challenges.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other relevant business software.
- Experience in asset management, business trip coordination, and facility operations.
- Familiarity with procurement processes, including budgeting and justification of expenditures.
- Knowledge of general affairs policies, facility management, and workplace safety regulations.
- Excellent communication and interpersonal skills to collaborate with internal teams and external vendors.
- Strong organizational and multitasking abilities to handle multiple projects and deadlines efficiently.
- High attention to detail and the ability to justify business decisions with data-driven analysis.
- Proactive and adaptable mindset, with a willingness to work in both office and field environments.
- Previous experience in handling procurement processes and vendor management.
- Experience in coordinating travel arrangements and managing operational budgets.
- Occupational Health & Safety (OHS/K3) Certification. (Preferred but Not Mandatory)
- Facility Management or Asset Management Certification. (Preferred but Not Mandatory)
- Procurement and Supply Chain Management Certification. (Preferred but Not Mandatory)
